BOOTH LAYOUT COMPLIANCE


Listed below are the compliance items for ALL exhibitors, and additionally, for companies occupying 400 sq.ft. of space or higher. Please read the IHRSA 2018 Exhibitor Rules & Regulations found on the IHRSA 2018 Exhibitor Contract and send all required submissions noted below to:

Line of Sight


Line of sight rules apply to ALL non-island booth configurations. Display materials should be arranged in such a manner so as not to obstruct sight lines of neighboring exhibitors. The maximum height of 8ft (2.44m) is allowed only in the rear half of the booth space; with a 4ft (1.22m) height restriction imposed on all materials 
in the remaining space forward to the aisle. Please refer to the IAEE Guidelines for your specific booth type.

Exhibitors 400 sq.ft. and Larger


Below is a partial list of compliance items for ALL IHRSA EXHIBITORS. These will require a submission(s) on the part of the exhibitor.


Booth Design

Exhibitors with in-line configurations (linear, perimeter, corners) or that are occupying less than 400 sq.ft. are not required to submit a booth rendering. However, it is IMPORTANT to note that you must adhere to the IAEE Guidelines applicable to these configurations. Line-of-sight must be kept clear and nothing may exceed 8' in height.

OVERSIZED PRODUCT: If you are displaying an oversized product taller than 8' or any item that does not conform to IAEE line-of-sight guidelines for linear booths, you must notify IHRSA immediately. Variances may only be granted in perimeter booth locations.

AUDIO: IHRSA maintains a maximum 75-decibel sound limit at the Trade Show. Sound systems and speakers must not be pointed outward from your booth into the aisles or adjacent displays. These items must be pointed inward.

Exhibitor Appointed Contractors (EAC)

All exhibitors using an EAC must complete the online form for each EAC retained prior to Friday, February 3, 2017. Also, every EAC must submit a Certificate of Insurance to IHRSA.

Show Management Provided Carpet

IHRSA provides complimentary booth carpeting to all exhibitors. This year the booth carpet color is BLUE. All exhibitors must complete the online form and indicate "YES" or "NO" regarding your usage of this carpet. Carpet will be provided automatically if no response is received by Friday, January 13, 2017. Any cost of removal onsite will be the exhibitor’s responsibility.

  Below is a partial list of requirements for IHRSA Exhibitors occupying 400 sq.ft. or more. These require various submissions from the exhibitor.


Booth Design Submissions

All exhibitors occupying 400 sq.ft. of floor space and higher must submit a booth rendering showing the information below by January 13, 2017. These can be graphic renderings, line drawings or hand-sketched, provided they contain the following:
  • All structures with dimensions.
  • Any product that exceeds 8' in height.
  • Any hanging items, including truss, banners, graphics, lighting, product, etc.
  • NOTE: Nothing is permitted to extend into the aisle space, which includes truss, arm lights, banners, etc.

Sound & Lighting Submissions

IHRSA maintains a maximum 75-decibel sound limit at the Trade Show. Any sound, lighting, live or video demonstrations, etc., must be submitted to IHRSA for approval. They can be included with your booth layout if completed by January 13. Otherwise, please submit by January 31, 2017.
